Booking Terms & Conditions

1. Introduction & Agreement

Welcome to Munduk Mountain Estate (“the Estate”, “we”, “us”, “our”), a luxury private villa retreat nestled in the highlands of Munduk, Bali, Indonesia. By proceeding with a booking enquiry, submitting a reservation request, or making a deposit payment, you (“the Guest”, “you”) acknowledge that you have read, understood, and agree to be legally bound by these Terms and Conditions (“Terms”).

These Terms constitute the entire agreement between the Guest and Munduk Mountain Estate with respect to the rental of the Estate. No verbal representations or prior correspondence shall form part of this agreement unless confirmed in writing by the Estate.

If you are booking on behalf of a group, you accept these Terms on behalf of all members of your party and are responsible for ensuring all guests comply with them.

2. The Estate & Property

Munduk Mountain Estate is a luxury private villa available for exclusive whole-property bookings. The Estate is situated at Dinas Tamblingan, Jl. Danau Tamblingan, Munduk, Banjar, Buleleng Regency, Bali 81152, Indonesia, and offers panoramic views of the surrounding volcanic mountains, twin lakes, and rainforest.

The Estate is offered as described on our official website at the time of booking. Photographs and descriptions are as accurate as possible; however, minor variations in furnishings, décor, or amenities may occur due to maintenance, seasonal changes, or upgrades. Such variations do not constitute grounds for cancellation or compensation.

Access to the Estate is by private road. Guests requiring specific accessibility arrangements are encouraged to contact us prior to booking to confirm suitability.

3. Reservations & Booking Process
3.1  Booking Enquiries

All bookings are subject to availability and must be made through our official website or authorised booking channels. A booking is not confirmed until the required deposit has been received and written confirmation issued by the Estate.

3.2  Guest Information

At the time of booking, the lead Guest must provide their full legal name, a valid email address and phone number, and details of any special requirements or requests.

3.3  Booking Confirmation

A reservation is only confirmed upon receipt of the required deposit and issuance of a written booking confirmation from Munduk Mountain Estate. Please review your confirmation carefully and notify us within 48 hours of any discrepancies.

3.4  Minimum Stay

A minimum stay of 2 (two) nights applies to all bookings. Extended minimum stays may apply during peak periods including but not limited to Christmas, New Year, Indonesian public holidays, and the Balinese new year (Nyepi). Specific minimums will be displayed at the time of booking.

4. Rates, Inclusions & Charges
4.1  Nightly Rates

Nightly rates are published in Indonesian Rupiah (IDR) and vary across four seasonal periods: Low, Mid, High, and Peak. Current rates for each season are published on our website at www.mundukmountainestate.com. Rates are subject to change without notice for future bookings; confirmed reservations will not be affected by subsequent rate changes.

4.2  What’s Included

The nightly rate includes:

  • Exclusive use of the full Estate property and grounds
  • Private villa manager and concierge service
  • Daily housekeeping
  • Welcome amenities
  • High-speed Wi-Fi throughout the property
  • All utility charges (electricity, water)
  • Exclusive and unlimited access to the infinity pool and hot plunge pool
  • One (1) complimentary sauna session per stay
  • Complimentary daily breakfast prepared by our in-house private chef
4.3  Daily Breakfast

A complimentary breakfast is prepared fresh each morning by our in-house private chef and is included in the nightly rate. Breakfast is served as a communal, family-style meal and is not an a la carte service. The menu is set daily by the chef and may reflect local seasonal produce and Balinese culinary traditions. Guests with dietary requirements or allergies are asked to notify the Estate prior to arrival so that reasonable accommodations can be made where possible.

4.4  Infinity Pool & Hot Plunge Pool

Guests enjoy exclusive and unlimited use of the Estate’s infinity pool and hot plunge pool throughout their stay. Both facilities are for the private use of confirmed Guests only and are not accessible to non-registered visitors.

4.5  Hot Sauna

The Estate features a private hot sauna for Guest use. One (1) complimentary sauna session is included per booking. Estate staff will prepare and heat the sauna, provide fresh towels, and manage the clean-up following each session. Additional sauna sessions beyond the complimentary inclusion are available at a fee per use, as advised by the villa manager on arrival. Guests wishing to use the sauna are asked to provide reasonable advance notice to allow staff sufficient preparation time.

4.6  Additional Charges

The following are charged separately and are not included in the base rate unless otherwise stated in your booking confirmation:

  • Catering, private chef services, and provisioning beyond the included breakfast
  • Spa and wellness treatments
  • Guided tours, trekking, and activity experiences
  • Local drivers for sightseeing, day trips, and excursions (arranged at market rates)
  • Additional sauna sessions beyond the complimentary inclusion
  • Additional cleaning for excessive mess or damage
  • Any government taxes or levies introduced after booking confirmation
4.7  Airport & Local Transfers

Airport and local transfers are not included in the nightly rate. We are happy to organise transfers on your behalf upon request. Please contact us at contact@mundukmountainestate.com and we will arrange these at market rates.

4.8  Currency & Exchange

Rates are quoted and charged in Indonesian Rupiah (IDR). Payments processed via credit card through our website payment gateway (Xendit) will be charged in IDR. The Estate is not responsible for any foreign exchange conversion fees charged by your card issuer.

5. Payment Terms
5.1  Deposit

A non-refundable deposit of 50% of the total booking value is required to secure a reservation. This deposit is due within 5 business days of receiving your provisional booking confirmation. Failure to pay within this period may result in the booking being released without further notice.

5.2  Balance Payment

The remaining 50% balance is due no later than 30 days prior to your scheduled arrival date. For bookings made within 30 days of arrival, the full amount is payable at the time of booking.

5.3  Accepted Payment Methods

Payments are accepted via credit card or debit card through our secure website payment gateway (Xendit), which accepts Visa, Mastercard, and other major cards. Bank transfer (direct transfer) is also accepted; details will be provided upon booking confirmation. All payments must be received in IDR. Any bank or transfer fees are the responsibility of the Guest.

5.4  Late Payment

The Estate reserves the right to cancel a confirmed reservation if balance payments are not received by the due date, with no obligation to refund the deposit paid. We will endeavour to provide written notice before cancellation.

6. Cancellation Policy
6.1  Cancellation by the Guest

All cancellation requests must be submitted in writing (email) to the Estate. The following cancellation charges apply:

Because full payment is required 30 days before arrival, cancellations inside this window result in forfeiture of the full amount paid. The 50% deposit is non-refundable under all circumstances.

6.2  Date Changes & Amendments

Requests to change booking dates must be submitted in writing more than 60 days prior to the original arrival date and are subject to availability. Where a date change is approved, the deposit paid will transfer to the new booking dates. If the new dates fall in a higher-rated season, the balance payment will reflect the higher applicable nightly rate. No reduction in the booking value will apply if the new dates fall in a lower-rated season. Date changes are not permitted within 60 days of arrival, at which point the standard cancellation policy in section 6.1 applies in full.

6.3  Cancellation by the Estate

In the unlikely event that the Estate must cancel a confirmed booking due to circumstances beyond our control (including but not limited to natural disaster, force majeure, property damage, or government-imposed restrictions), we will provide a full refund of all monies paid. The Estate will not be liable for any additional costs incurred by the Guest as a result of such cancellation, including travel and accommodation expenses.

6.4  Travel Insurance

We strongly recommend that all Guests obtain comprehensive travel insurance that includes cancellation cover, medical cover, and personal liability before confirming a booking. The Estate accepts no responsibility for any financial losses arising from unforeseen cancellations.

7. Arrival, Departure & Property Access
7.1  Check-In & Check-Out Times

The Estate manager or a designated representative will meet the lead Guest upon arrival to conduct a welcome orientation and property handover. Guests are asked to notify us at least 24 hours in advance of their estimated arrival time.

7.2  Key Handover & Security

A full property walkthrough will be conducted at check-in. Any pre-existing damage or concerns must be reported to the Estate manager within 3 hours of arrival. The Estate will retain a set of master keys at all times for emergency access.

7.3  Access to the Property

The Estate is for the private and exclusive use of confirmed Guests during the booking period. Guests must not permit access to any non-registered visitors without prior written approval from the Estate. The Estate reserves the right to require unauthorised visitors to leave.

8. Occupancy, Events & Gatherings
8.1  Maximum Occupancy

The Estate has a maximum occupancy of 14 guests. Standard accommodation sleeps up to 12 guests across the Estate’s bedrooms. The media room can be configured as additional sleeping accommodation for up to 2 further guests sharing, bringing the total to 14. Guests requiring the media room setup should notify the Estate prior to arrival. This limit includes all adults and children. Exceeding the maximum occupancy of 14 guests is strictly prohibited and may result in immediate termination of the booking without refund.

8.2  Events & Functions

No events, functions, celebrations, gatherings, commercial photo shoots, professional filming, or any activity involving external visitors, vendors, catering, or entertainment are permitted at the Estate without the express prior written approval of Munduk Mountain Estate management. Requests must be submitted in writing and approved before any arrangements are made. Unauthorised events or gatherings will result in immediate termination of the booking without refund, and the Guest will remain liable for any associated costs or damages. Personal photography and video by Guests for private or social media use is warmly welcomed (see Section 8.3).

8.3  Photography & Social Media

Guests are welcome and encouraged to take photographs and videos during their stay for personal or social media use. We ask that Guests tag and credit @MundukMountainEstate when sharing content publicly online. The following content is not permitted under any circumstances: sexually explicit or offensive material involving the property, its staff, or surroundings.

Commercial photography, drone footage, or professional film production on the property requires prior written approval from the Estate. Additional fees and conditions may apply.

8.4  Noise & Quiet Hours

Out of respect for the local Munduk village community and surrounding environment, Guests must observe quiet hours between 9:00 PM and 8:00 AM. Amplified music or audio is not permitted after 9:00 PM. The Estate is situated within a highland village community and we ask all Guests to be mindful and respectful neighbours.

9. Guest Conduct & House Rules
9.1  General Conduct

Guests agree to treat the Estate, its contents, and its surroundings with care and respect. Conduct that disturbs the peace of the local community, causes damage to the property, or is deemed inappropriate or unlawful will result in the booking being terminated without refund.

9.2  Prohibited Activities

The following activities are strictly prohibited at the Estate:

  • Use, possession, or supply of illegal substances
  • Bringing any prohibited or illegal items onto the property
  • Hunting, trapping, or harming local wildlife
  • Lighting fires outside of designated areas
  • Interference with Estate equipment, plant, or infrastructure
  • Subletting or transferring the booking to another party
  • Any activity in breach of Indonesian law
9.3  Plumbing & Waste Disposal

In accordance with standard practice in Bali, guests are kindly asked not to flush toilet paper or any other materials (including wet wipes, sanitary items, or foreign objects) down the toilet. Bins are provided in all bathrooms for this purpose. The Estate operates on a septic system and flushing inappropriate materials can cause serious damage. Any costs resulting from plumbing damage caused by non-compliance will be charged to the Guest.

9.4  Smoking Policy

Smoking (including e-cigarettes and vaping) is not permitted inside any enclosed structures on the Estate. Designated outdoor smoking areas may be available. Guests are asked to dispose of cigarette waste responsibly.

9.5  Pets

Pets are not permitted at the Estate under any circumstances. This policy is strictly enforced.

9.6  Children

Families with children are warmly welcomed. Parents and guardians are responsible for the safety and supervision of children at all times, particularly in and around water features, pools, terraces, and forest areas. Children under 12 must be supervised by a responsible adult at all times.

10. Damage, Loss & Liability
10.1  Guest Responsibility for Damage

Guests are responsible for any damage to the property, furnishings, fixtures, fittings, art, or equipment caused by themselves, their guests, or their invitees during the booking period, whether by accident or negligence. The cost of repair or replacement will be invoiced to the Guest and is payable within 14 days of departure.

10.2  Reporting Damage

Any accidental damage must be reported to the Estate manager as soon as practicable. Prompt reporting may result in the Estate exercising discretion around minor damage charges. Unreported damage discovered at check-out will be charged in full.

10.3  Limitation of Estate Liability

To the maximum extent permitted by applicable law, Munduk Mountain Estate and its owners, managers, staff, and agents shall not be liable for any injury, illness, death, loss, or damage to personal property occurring at the Estate. Guests acknowledge that they stay at and use the facilities of the Estate at their own risk.

10.4  Personal Belongings

The Estate accepts no responsibility for the loss, damage, or theft of Guest personal belongings during their stay. We recommend comprehensive travel insurance.

11. Staff & Services

The Estate employs trained local staff including a villa manager, private chef, housekeepers, and gardeners. All staff are respectful professionals; we ask that Guests treat staff with equal respect and courtesy at all times. Guests must not ask or instruct staff to perform duties outside their role, remove items from the property, or act contrary to Estate policies.

The Estate management team is available to assist with concierge services, local recommendations, transport arrangements, and activity bookings. We will make every effort to fulfil requests but cannot guarantee the availability of third-party services.

12. Force Majeure

The Estate shall not be liable for any failure or delay in performing its obligations under these Terms where such failure or delay is caused by events beyond its reasonable control, including but not limited to: natural disasters, earthquakes, volcanic activity, floods, epidemics or pandemics, acts of government or regulatory authorities, civil unrest, acts of terrorism, or infrastructure failures.

In such circumstances, the Estate will make reasonable efforts to find alternative arrangements or provide a credit toward a future booking.

13. Privacy & Data Protection

Munduk Mountain Estate collects and stores personal information provided by Guests solely for the purpose of processing bookings, communicating regarding your stay, and fulfilling our legal obligations. We will not sell, share, or disclose personal information to third parties except as necessary to fulfil your booking or as required by Indonesian law.

By making a booking, you consent to the collection and use of your personal information as outlined above. You may request access to or deletion of your personal data by contacting us directly.

14. Governing Law & Disputes

These Terms and Conditions are governed by and construed in accordance with the laws of the Republic of Indonesia. Any disputes arising from or relating to these Terms or the booking shall first be referred to good-faith negotiation between the parties. If a resolution cannot be reached, disputes shall be subject to the jurisdiction of the courts of Bali, Indonesia.

Should any provision of these Terms be found to be invalid or unenforceable, the remaining provisions shall continue in full force and effect.

15. Amendments to These Terms

Munduk Mountain Estate reserves the right to update or amend these Terms and Conditions at any time. The version of the Terms in effect at the time of booking will apply to that booking. Updated Terms will be published on our website with a revised effective date. Guests are encouraged to review the Terms prior to each booking.
